Our company continues to implement solutions based on the Documentolog platform in various Kazakhstani companies. Today we will tell you about another success - the implementation of Documentolog CRM in TOO "G-Kids KZ"!

TOO "G-Kids KZ" is the official representative of the world leader in developmental programs for children aged 0 to 6 years - Gymboree Play&Music, one of 700 centers in 33 countries operating under this franchise.

  • Formation and modification of group lists. Due to the large number of groups at the center and the fact that student lists were maintained on paper, confusion occasionally arose among them, and there were even cases of loss and mix-ups in the lists; also, in the case of a student leaving or arriving, the list had to be either reprinted or manually corrected, resulting in additional paper waste.
  • Attendance control. There were instances when an employee or teacher did not mark attendance during a lesson, leading to disputes between parents and center staff regarding whether the child attended classes during a specific period.
  • Scheduling lessons. Due to the need to accommodate new clients, changes in the schedules of existing clients, and sometimes staff changes, the lesson schedule had to be adjusted. Each time this required printing new paper forms, which could later be confused with old ones, creating document chaos. Scheduling lessons took up a lot of working time and attention from employees. The company planned to solve this problem by implementing a Customer Relationship Management (CRM) system.
  • Lack of a system for congratulating clients on their birthdays. As is known, timely congratulations to clients on holidays, especially on important ones like birthdays, helps strengthen relationships between them and the company. Due to the large number of clients, it often happened that records of children's birth dates were confused or not recorded at all.

To address the above issues, the management of TOO "G-Kids KZ" decided to implement a Customer Relationship Management system in the company. When considering a wide range of market offerings with a focus on factors such as short implementation times, ease of management, and optimal pricing, the company "Documentolog" was chosen as the system provider with the Documentolog CRM product. 

The implementation of this product in TOO "G-Kids KZ" allowed for the automation of the following business processes:

  • Effective management of the client base with attendance control throughout the training period and the ability to create new lesson schedules; since the implementation, there have been no cases of confusion in lists or loss of documents, as well as disputes with clients.
  • Automated sales accounting system provided the opportunity to obtain a complete picture of this segment of the organization and adjust the activities of sales managers where necessary.
  • Automatic report generation based on specified parameters in real-time allowed for any analytics, which the company now uses for strategic planning of activities.
  • Company calendar, which allows for advance planning of events and notifies about upcoming children's birthdays. Since then, the company has never had cases of untimely birthday congratulations for clients.
