Our company continues to implement solutions based on the Documentolog platform in various Kazakhstani companies. Today we will share another success story - the implementation of Documentolog EDS in TOO «Sinoil»!

TOO «Sinoil» is one of the largest suppliers of fuel and lubricants in the Republic of Kazakhstan. The company has a large number of branches, gas stations, and subsidiaries throughout our country, and processes enormous volumes of incoming, outgoing, and internal correspondence on a daily basis, namely:

  • organizational and administrative documentation (orders, memos, etc.)
  • requests to the procurement department (requests for office supplies, requests for the supply of fuel and lubricants, and other goods for gas stations)
  • citizen appeals
  • personnel document flow

Despite such a wide structural network, until 2013, document management in the company was conducted based on paper documents, which created the usual problems associated with this approach: documents were periodically lost, mixed up, and a lot of working time was spent on their creation, search, approval, and signing.

In 2013, a competition was announced for the implementation of an electronic document management system in TOO «Sinoil» . The primary selection criteria for the supplier were:

  • optimal price and tight implementation deadlines
  • the ability to adapt the system to the company's business processes without programming
  • a convenient and intuitive interface
  • the ability to work with the EDS via the Internet from a local or external network
  • the ability to work with the EDS via mobile devices (smartphones, tablets, PDAs)

By offering TOO «Sinoil» the solution of Documentolog EDS, our company won the competition and began the implementation. As a result of prompt and efficient work, the following business processes were successfully optimized and automated in TOO «Sinoil» :

  • Service document flow (incoming, outgoing, and internal documents)
  • Personnel document flow (orders, applications, directives, clearance sheets, personal files)

After the successful implementation of Documentolog EDS, the efficiency of interaction between the head office and its branches significantly increased, the level of executive discipline rose, and the time spent on creating, approving, and signing documents decreased significantly. Moreover, a reliable system for accounting and storing corporate documents was established, which greatly reduced the instances of confusion and loss of documents within the company.
