LLP "Documentolog" continues to implement solutions based on the Documentolog platform in various Kazakhstani companies. Today we will discuss the successful implementation of Documentolog EDS at the State Enterprise "Pension Payment Center" (hereinafter - PPC)!

PPC is one of the most important elements of the country's financial and social structure. More than 2000 specialists in banking, finance, and social spheres work in this organization daily. Due to the large number of branches across the country and their territorial disconnection, employees of PPC regularly faced difficulties in document management, namely:

  • a large number of internal transfers of paper documents within the organization, which often led to contracts, orders, and other documents getting mixed up, lost, or damaged;
  • the procedure for approving and signing organizational and administrative documentation at the management level was complicated and time-consuming;
  • searching for paper documents based on specific requests was not fast enough;
  • lack of a convenient and effective system for delegating authority;

To address these issues in document management, a decision was made in May 2012 to conduct a tender for the supply of an electronic document management system. The main requirements for the supplied system were:

  • the ability to automate all processes of document processing according to the document management regulations;
  • ease of interaction with the system;
  • the ability to work with the system through a full web interface from any branch of the organization;
  • availability of means to modify documents, routes, and other characteristics without programming;
  • experience in implementing similar projects in government and large commercial structures;

The winner of the tender was the company "Documentolog" with the Documentolog EDS solution, which fully met both the qualification and technical requirements of the competition. As a result of the implementation of Documentolog EDS into the workflow of PPC, the following main goals were achieved:

  • the document management of PPC was fully automated;
  • the document flow process with regional and local branches was automated;
  • the transition from paper document management to electronic was fully realized;
  • minimum approval and endorsement times for documents;
  • proper control over the execution of documents;
  • and much more

Currently, Documentolog EDS is successfully implemented throughout the branch network of PPC, with an active user base of 1100 people.
