HED Documentolog Now in Government Agencies

The process of connecting 14 ministries and their structural divisions to the Documentolog Electronic Document Storage Service Software (HED SPP) has been completed, which provides:

• the preservation of archival documents in electronic form in the ESDO/SED GO (departmental archives of the Administration of the President of the Republic of Kazakhstan, Parliament and local representative bodies, Constitutional Council, Government, central and local executive bodies, courts, prosecutor's offices);
• user access to archival documents in electronic form;
• verification of the legitimacy of archival documents in electronic form.

The main advantages of the Documentolog HED SPP are:

• Rapid transfer of documents to the Archive;
• Data security through encrypted communication channels; creation of case descriptions by structural divisions; creation of a case inventory for the government agency;
• Coordination of inventories with curators from the National Archive; archival storage;
• Documentation of the destruction of cases;
• Allows the acceptance of legitimate electronic documents from various information systems, provided they comply with the interaction format;
• Integrated with the State Document Management System and the National Center for the Republic of Kazakhstan.

As part of the project, archival documents were migrated from the ESDO GO/SED GO to the HED SPP. Additionally, training was conducted for over 100 archivists and document managers from structural divisions.
