Documentolog is pleased to announce the launch of an online calculator for quickly calculating the Total Cost of Ownership (TCO) of Documentolog EDS licenses over 5 years for two options: 

  • Acquisition of licenses for ownership 
  • Acquisition of licenses under the SaaS model (rental licenses).  

By providing costs for the next 5 years, the online calculator will allow you to compare both options for acquiring licenses and choose the most advantageous one for your company.

Acquisition of Licenses for Ownership — a classic option for companies that want to install software on their own servers and are not ready to host their data outside the corporate network. User licenses are perpetual, but updates and technical support are paid services. 

Software as a Service (SaaS) - a model of software usage where it is not purchased for ownership. It can be said that this is a rental of licenses (or «cloud»). 

The main feature of the SaaS model is the absence of additional costs associated with the installation, updating, and support of the installed software.

Acquisition of Licenses for Ownership

Pros 

  • The company owns the acquired licenses of the system (without transferring copyright)
  • The company can add the cost of licenses to its total capitalization

Cons 

  • It is necessary to purchase a server and server software
  • It is necessary to separately maintain an administrator for system support
  • Any system updates incur additional costs

SaaS

Pros

  • The company has access to the latest versions of the system under the terms of the contract
  • No need to purchase server hardware and server software
  • No need to maintain technical staff for system and hardware administration
  • Expenses in the case of SaaS are purely operational (OPEX) — payment is made in the form of a subscription fee for access services

HOW TO CALCULATE?

To calculate the cost of acquiring licenses for ownership, you need to specify: 

  • the number of licenses being purchased
  • the installation option for the system on the Client's server: standard installation or fault-tolerant installation 
  • the number of users for training (training is conducted in groups of a maximum of 10 people)
  • the number of administrators for training (at least 1 administrator must undergo training, after which a corresponding certificate is issued)

To calculate the cost of acquiring licenses under the SaaS model, you need to specify: 

  • the number of licenses being purchased
  • the number of users for training (training is conducted in groups of a maximum of 10 people)

Also, the cost of the license, regardless of the acquisition option, includes filling out the initial reference information in the system (structure, templates of registration numbers, nomenclature of cases).

 

It should be noted that the calculator is intended for companies purchasing up to 500 licenses. For companies wishing to buy more than 500 licenses, the calculation is done individually.
