In June of this year, Documentolog specialists implemented a project to introduce the system at the NAO "Astana Medical University".
The University is one of the largest and most dynamically developing medical universities in our country. It ranks among the top three medical universities in Kazakhstan and collaborates with leading universities in the USA, Singapore, Japan, Europe, and Russia.
Training is conducted in specialties such as General Medicine, Dentistry, Nursing, Public Health, and Pharmacy.
Document management for any university — is a complex process that includes both internal and external interactions.
Before switching to Documentolog, the University used another electronic document management system that only automated internal business processes. Meanwhile, contractual relationships with suppliers and document exchanges with partners and regulatory authorities were still conducted on paper.
To optimize interactions with counterparties, simplify the processing of document flows, and fully digitize document-oriented processes, the University management decided to switch to the Documentolog ecosystem.
The Documentolog Platform package was chosen, which automated:
- general document management (incoming/outgoing documents, internal documents, requests from individuals/legal entities);
- contractual activities;
- external document management with counterparties;
- and other functionalities.
University employees were also provided access to the Documentolog mobile application with the ability to sign documents using the digital signature of the National Center for State Scientific and Technical Expertise of the Republic of Kazakhstan.
Additionally, the University automated its HR activities: processes for hiring and dismissing employees, granting leave, business trips, transfers to other departments, and surveys.
Aiman Kabdugalieva, Head of the Document Management and State Language Development Department at NAO "Astana Medical University" on the results of the implementation: "Electronic document management, compared to paper carriers, has significantly simplified the work of the University, reduced the time employees spend on document creation and processing, coordination, and signing.
Information and document searches have also accelerated, costs for consumables have decreased, and document losses have been eliminated. There is now transparency in document handling – all actions with documents are recorded in the system. Executive discipline has improved, particularly in providing documents within specified deadlines, coordination, etc."
