Documentolog

Documentolog is an electronic document management system (EDMS) used by organisations in Kazakhstan and Central Asia. Employees register, route, approve and sign documents, and exchange official correspondence with other organisations. Documentolog is provided as a cloud service and as an on-premise installation.

Gmail integration

A Documentolog user can connect their own Gmail mailbox to the system. After the mailbox is connected, the Documentolog mail module:

  • receives new incoming messages from the mailbox and lets the user register them as incoming documents, including attachments;
  • sends documents and notifications from the user's mailbox on the user's behalf.

Documentolog connects to Gmail over the standard IMAP and SMTP protocols using OAuth 2.0 (SASL XOAUTH2). We never ask for, see or store your Google password.

This is the only permission Google accepts for IMAP and SMTP access. Documentolog uses it to read new incoming messages and to send messages from the connected mailbox. Documentolog never permanently deletes your messages and does not change them.

Used once, after you grant access, to learn the address of the mailbox you connected so we can show it in your profile and use it as the sender address.

What happens to your data

  • Incoming messages you receive into Documentolog are stored on Documentolog servers (or on your organisation's own servers for on-premise installations) so that you can work with them as documents.
  • Access tokens issued by Google are stored encrypted and are deleted when you disconnect the mailbox.
  • Your mail is never used for advertising, is never sold or shared with third parties, and is never used to train AI models.

Your control

You can disconnect the mailbox at any time in Documentolog: Profile → Mail → Disconnect. You can also revoke Documentolog's access in your Google Account at myaccount.google.com/permissions. Disconnecting deletes the stored tokens; messages already registered as documents remain in your organisation's document archive under its retention rules.

Documentolog's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
